A licence sits unverified two hours before pickup. Each of those is a trip, a review, or a rebooking — and each lands outside the hours a part-time assistant is at a desk.
Covering 6am to 11pm, seven days a week, is 516 staffed hours a month. That is three full-time people before anyone takes a holiday, and at scale you need two on at once through the pickup and return peaks. This system covers that shift pattern without a rota.
Measured across guest messages handled on our own fleet. Most are answered inside half an hour. The slower ones are deliberate: claims, damage and disputes are held for a human rather than answered automatically at speed.
English, French and Spanish, grounded in your own policies — the fuel grade for that specific car, your parking rules, your office hours. It does not invent answers, and it will not quote a figure it cannot verify.
A code goes out only in a tight window before the trip starts, never earlier, and never before the driver's licence is verified. Guests who push for early access get routed to a trip change instead.
Guests are reminded to upload well ahead of the trip, because verification takes time and a last-minute upload leaves them standing at the car.
Sent ahead of the trip end with the current box and code, re-checked at the moment of sending — because cars get moved between boxes mid-trip and stale instructions send a guest to the wrong place.
Claims, damage, accidents, money disputes and safety issues never receive an automated answer. They reach your team with guest, vehicle, plate, trip times and the conversation so far already assembled.
Damage refusal, abuse, theft and denied prohibited use are recorded with a quoted line from the thread, so your ratings stop them rebooking. A heated billing dispute does not count — that is a disagreement, not a bad guest.
Turo moves the goalposts regularly — late-return fee tiers, cancellation windows, mileage and distance limits, cross-border rules, check-in requirements, and the terms of service underneath all of it. A host running their own templates finds out when a guest quotes a policy back at them that is six months out of date.
Turo policy and Terms of Service updates are tracked and written into the rule set your system answers from, so guests get the current position and not last season's.
Each policy rule is tagged with where it came from and when it was last checked. Anything unverified is never quoted to a guest as fact.

Your Turo host account and a mail address for Turo notifications. We import your vehicle list, lockbox sheet and pickup addresses, and set up your private channel.
Fuel grade per car, parking, office hours, who at reception hands over keys, delivery points, and who on your team hears about what. This becomes your policy file — yours, not a copy of ours.
Every reply is drafted into your channel for approval instead of being sent. You correct the ones that are wrong, and each correction is written into your policy file. Billed at half rate.
Routine questions and return reminders first. Lockbox codes stay manual until you have watched the licence gate hold on your own trips.

The shadow week is the point. You are handing an automated system your guest relationships and your lockbox codes. You should not have to take that on trust — so it earns the permission to send in front of you, on your own bookings, before it ever speaks to a customer.
You get a private channel of your own, set up and run by us. Your fleet only — no other host can see it, and you see nothing but your own. Your staff join from their phones the same afternoon, and there is no software for you to administer.
Licence checks, delivery handoffs, claims and escalations all arrive in the same channel, tagged to the people you nominate.
An escalation includes the guest, vehicle, plate, reservation, trip times and what has already been said — whoever picks it up is not starting from a blank screen.
